Vaximap (accessed at https://vaximap.org/) is an online tool owned by Vaxine Limited and operated by Querque Limited (“we” / “us” / “our”) under licence.
This notice provides details of the information we collect when you use Vaximap. Please read it carefully to understand the restrictions on the information you can upload and how we will use it.
You must only upload postcodes and ID numbers of patients. (ID numbers must not identify or reveal any particular patient.)
You must not upload any information that is capable of identifying an individual (whether alone or in combination with any other information you upload). This includes names, addresses and NHS numbers, for example.
We do not knowingly collect or process any patient personal data because we cannot identify any individual from a postcode and an ID number alone.
For transparency (although not required by data protection laws):
Disclosing this information: we need to share patient postcodes with Microsoft Bing in order to generate a route. (This information is used in the same way as searching for a location on Bing Maps.) We do not share patient ID numbers with any third parties.
We only retain patient postcodes and ID numbers for as long as necessary to generate a route and provide it to you. This information is then deleted.
We retain summary statistics, the distances between patients, and aggregate counts of patients in each postal district (a postal district is the first part of a postcode) after having completed your request, for the purpose of analytics.
You may choose to upload your start / end address, which may constitute personal data.
We will also collect your device IP address and email address for the purpose of serving your request and returning results to you.
We refer to the above information about you as “User Information”. We do not collect, and you should not provide, any other information about you.
Reason and legal basis for processing: we process User Information to enable you to use Vaximap; to generate a route and provide this to you. We rely on our (and your) legitimate interests to operate Vaximap in order to do so.
Disclosing this information: we do not share User Information with any third parties.
Retaining this information: we only retain User Information for as long as necessary to generate a route and provide this to you. This information is then deleted.
Your rights: under data protection laws, you have certain rights with respect to your personal data, including, amongst other things, a right of access, a right of erasure and a right to object to processing. Please see our contact details below if you wish to make a request.
Any information you upload to Vaximap is transmitted via an encrypted connection (HTTPS). The information we share with Microsoft is also encrypted.
We use essential cookies to prevent cyber-attacks. We do not use cookies to track user behaviour or for analytics or advertising purposes.

The following terms and conditions (Terms) govern your use of Vaximap, and you should read them carefully before using it.
By using Vaximap, you confirm that you accept these Terms and that you agree to comply with them. If you do not agree to these Terms, you must stop using Vaximap immediately.
These Terms apply to all Vaximap users. Vaximap is for non-commercial use only.
You are solely responsible for any costs and expenses you may incur in relation to your use of Vaximap.
We may prevent or suspend your access to Vaximap if you do not comply with these Terms, our privacy policy or any applicable law.

These Terms also refer to our privacy policy, which is incorporated by reference and also applies to your use of Vaximap. Our privacy policy describes how we handle the information that you upload or that we collect from you when you use Vaximap.
We may amend these Terms (or our privacy policy) from time to time. Please check them regularly to ensure you understand the terms that apply at that time.
Vaximap is provided on an “as is” and “as available” basis. Although we make reasonable efforts to update Vaximap and to ensure it operates effectively, except as required by law we give no warranty, representation or guarantee, express or implied: (a) as to the quality, content, availability or uptime of Vaximap; or (b) that any routes generated using Vaximap are accurate, complete, up-to-date or fit for purpose.
We will also not be liable to you for any loss of information which you upload to Vaximap (or otherwise provide to us), or for any loss arising from the deletion of, or the failure to upload or to store, any such information.
We do not exclude or limit in any way our liability to you where it would be unlawful to do so. This includes liability for death or personal injury caused by our negligence or the negligence of our employees, agents or subcontractors and for fraud or fraudulent misrepresentation. We exclude any liability for unforeseen loss or damage incurred by you in connection with Vaximap, in connection with the use, inability to use, or results of the use of Vaximap, however caused. Loss or damage is foreseeable if either it is obvious that it will happen or if both we and you knew it might happen.
We have no liability to you for any (i) loss of profit, sales or revenue; (ii) loss of business; (iii) business interruption; (iv) loss of business opportunity, goodwill or reputation; or (v) indirect or consequential loss or damage.
Vaximap is designed to be operated on a wide range of operating systems. However, we do not guarantee that Vaximap can be accessed and used on all computers or devices, nor do we guarantee that Vaximap is available in all geographic locations.
Although we try to ensure that Vaximap will always be available and uninterrupted, we cannot guarantee it. For example, we may need suspend, withdraw or restrict the availability of Vaximap for technical and/or operational reasons. Where we are able to do so, we will try to give you reasonable notice of this.
We are not responsible for issues relating to the internet generally, such as broadband availability, connection speed and other matters outside of our control which may affect the quality and availability of Vaximap, and your ability to use it.
You are solely responsible for any information you upload to Vaximap.
You represent and warrant to us that any information you upload complies with these Terms (including our acceptable use restrictions) and our privacy policy. This means you will be responsible for any loss or damage we suffer as a result of your breach of warranty.
You must have obtained all necessary rights, consents and licences with regard to any information you upload to Vaximap. This means that you cannot submit anything that is subject to any proprietary rights, unless you are entitled to do so.
When you upload information to Vaximap, you grant us a worldwide, non-exclusive, royalty-free licence to use that information to generate a route and provide it to you. We may use retained derivatives of the information, as detailed in the privacy policy, to perform analysis of the service. We reserve the right to publish the findings of any such analysis.
Information about patients: we do not knowingly collect or process any personal data relating to patients and you must not upload any such data to Vaximap. See our acceptable use restrictions and our privacy policy for more information.
Information about users: if you choose to provide it, we will collect certain information about you in connection with the operation of Vaximap which may constitute personal data. See our privacy policy for more information.
If you upload (or otherwise provide to us) any personal data in error, you should contact us so that we can delete it (see who we are and how to contact us). We will process any personal data you upload to Vaximap in accordance with our privacy policy.
While we take reasonable measures to ensure Vaximap is secure, we cannot guarantee that it will be secure, or free from bugs or viruses. You should therefore take your own precautions in relation to security when you use it.
You must not:
knowingly introduce viruses, bugs, trojans, worms, keystroke loggers, spyware, adware, logic bombs or other material, software or code on or to Vaximap that is malicious or technologically harmful or which may infect or otherwise disrupt Vaximap;
hack or attempt to gain unauthorised access to Vaximap, the server on which Vaximap is stored, or any server, device or database connected to Vaximap; or
attack Vaximap via a denial-of-service attack or a distributed denial-of service attack.
If you breach this section, you would commit a criminal offence. We will report any such breach to the relevant law enforcement authorities and co-operate with those authorities by disclosing your identity to them.
To the fullest extent permitted by law, we will not be liable to you for any loss or damage you suffer as a result of a distributed denial-of-services attack, virus, or other technologically harmful material that may infect your computer or device equipment, computer programs, apps, data or other proprietary material due to your use of Vaximap.
All intellectual property rights in Vaximap, and any updates to it (whether currently in existence or created in the future, and wherever they exist in the world), belong to us or our licensors. By using Vaximap you do not acquire any rights in it.
You understand that your use of Vaximap does not create any of your own intellectual property rights in or to Vaximap, or in any outputs from your use of Vaximap (including any routes generated on your behalf). This also applies to the results of all analysis deriving from data that you have uploaded.
Unless you have our written permission, you must not copy, cut and paste, e-mail, reproduce, publish, distribute, redistribute, broadcast, transmit, modify, adapt, edit, abstract, create derivative works of, store, archive, publicly display, sell or in any way commercially exploit any functions, features, concepts, content, data or other information on or relating to Vaximap (or any part of it).
If you do not comply with this restriction, your right to use Vaximap will end immediately and you must, at our option, return or delete any extracts, screenshots, copies or otherwise which you have made in breach of it.
Where we refer to “intellectual property rights”, we mean rights such as: copyright, trade marks, domain names, design rights, database rights, patents and all other intellectual property rights of any kind whether or not they are registered or unregistered (anywhere in the world).
The word Vaximap and the Vaximap logo are trade marks owned by Vaxine Limited used by us under licence.
You must:
not use Vaximap in any unlawful or fraudulent manner, for any unlawful or fraudulent purpose, or in any manner inconsistent with these Terms, our privacy policy or applicable law;
not upload any information to Vaximap that is capable of identifying individual patients (whether alone or in combination with any other information you upload). See our privacy policy for more information.
not use Vaximap in a way that could damage, disable, overburden, impair or compromise it;
not use Vaximap to provide outsourced services to third parties or make Vaximap available to any third party;
not combine, merge, translate, adapt, vary, alter or modify, the whole or any part of Vaximap, nor permit Vaximap or any part of it to be combined with, or become incorporated in, any other platform or programs, nor arrange or create derivative works based on it; and
not disassemble, de-compile, reverse engineer or otherwise reduce to human-perceivable form the whole or any part of Vaximap nor attempt to do any such things, except to the extent that such actions cannot be prohibited under applicable law.
We may make updates or modifications to improve the functionality of Vaximap, to enhance performance, reflect changes to users' needs, address security issues or for other purposes.
We reserve the right to make these updates or modifications and will not be liable to you for any resulting loss of information or data.
We may amend these Terms (or our privacy policy) from time to time. Please check them regularly to ensure you understand the terms that apply at that time.
Vaximap may contain links to other websites and apps which are not provided by us. We are not responsible for these websites and apps, and have not checked and approved their content nor their privacy policies (if any).
You may link to Vaximap, provided you do so in a way that is fair and legal and does not damage our reputation or take advantage of it.
You must not establish a link to Vaximap:
in any website or app that is not owned by you; or
in a way that suggests any form of association, approval or endorsement on our part where none exists.
The website or app in which you are linking must comply in all respects with these Terms (including our acceptable use restrictions).
Vaximap must not be framed on any other website or app without our prior consent. We reserve the right to withdraw linking permission without notice.
We may transfer our rights and obligations under these Terms to another organisation. We will ensure that the transfer will not affect your rights under these Terms. You may not transfer your rights under these Terms to another person.
Only you and we can enforce these Terms. They do not confer any rights on anyone else who is not party to them.
Each of the paragraphs of these Terms operates separately. If any court or relevant authority decides that any of them are unlawful, the remaining paragraphs will remain in full force and effect.
Even if we delay in enforcing these Terms, we can still enforce them later. If we do not insist immediately that you do anything you are required to do under these Terms, or if we delay in taking steps against you in respect of your breaking this agreement between us, that will not mean that you do not have to do those things and it will not prevent us taking steps against you at a later date.
These Terms are governed by English law (except that if you live in a country other than England, including Northern Ireland and Scotland, there may be certain mandatory applicable laws of your country which apply for your benefit and protection in addition to or instead of certain provisions of English law).
If either of us wishes to bring legal proceedings, we both agree we must do so in the English courts (except that if you are a resident of Northern Ireland you may bring proceedings in Northern Ireland, and if you are resident of Scotland, you may bring proceedings in Scotland).
